Waybills

Waybills are the main reason the MRICF exists, and so the Waybills Edit view is where many of the other types of data found in the application are used to streamline the managing of waybills. The waybill view has been enhanced many times over the life of the application. The Waybill Edit view is used to create and edit waybills, and is accessible by clicking Edit WB link in the Home view, the Edit link for a waybill in the Switchlist view, and the New WB link in the application menu.

The Waybill Edit view has the following sections:

  • Waybill Specific Actions - this is not labelled as such but is the first section under the menu. It will show any outstanding scheduled auto events, and a number of red buttons to do specific actions for the waybill being edited,
  • Heading - Has basic information about the waybill, and links to specific waybill actions and features.
  • Car Details - Car management takes place in this section.
  • Photos - Photos attached to the waybill appear in this section.
  • Industries / Locations Details - Details relating to Industries is managed in this section.
  • Railroad Operation Details - How railroads action the waybill is found in this section.
  • Train Details - Allocation of the waybill to a specific train is done in this section.
  • Progress - Progress report entry, and progress history is in this section.

The Waybill Edit view has the following fields and data:

WAYBILL SPECIFIC ACTIONS

  • Swap origin / destination, mark Lading as MT - When clicked this will change the waybill so that the origin and destination industries and railroads are swapped, and the lading is changed to MT (meaning “empty”).
  • Progress - When clicked this will go to the progress report section of the view.
  • Messages - When clicked, searches for and displays forum messages relating to the waybill.
  • Upload Image - When clicked goes to the Photos section of the view.
  • Tranship - When clicked this creates a new waybill with no cars, and marks the current waybill as UNLOADED and changes lading to MT. It also adds progress reports to the current waybill and the transhipped waybill indicating that a transhipment has taken place. A waybill would normally only be transhipped if transferring between different transport modes: eg, rail to ship or vice versa, rail of one gauge to rail of another gauge.
  • Convert to Single Car WBs - This will only appear when there is more than 1 but less than 10 cars on a waybill. When clicked, it converts the multi-car waybill to multiple single car waybills.

HEADING

  • Waybill Type - Standard or Internal waybill types can be selected here. If not sure what type to choose select STANDARD.
  • Purchase Order - If you have a purchase order number for the waybill you can enter it in this field. Note that is is NOT the waybill number when it is a Purcahse order, but a non-MRICF Purchase Order number.

CAR DETAILS

Cars attached to waybill section

  • Car - Car Number, including the Reporting Mark, eg BNSF512158
  • AAR - The AAR Code for the car type. This can be left empty, but it is best to select an AAR type so that other users know what sort of car to use when they are moving the car/s on the waybill on their railroad.
  • Attach to RR - This is a list of your railroad/s. Select the Railroad that will move the Car entered.
  • Add button - When the Car, AAR and Attach to RR fields are correctly set, clicking this button will add the car details to the waybill. If you enter the car details but do not click the Add button then the car will not appear on the waybill after you submit the changes to the waybill! Cars that have been added to the waybill are shown in the Cars on waybill section.
  • Car Select - This allows you to select one of your cars. When selected the details will appear in the other fields in the section, then click the Add button to add the selected car to the waybill.

Car Search section

  • Find Cars At - This field is an auto complete field and will display found cars as you type the location, car number, or aar type you are searching for. When searching for a specific car it is best to enter part of the car number, rather than a location or aar type. For best results, type as much as possible to refine the results to as few cars as possible. Results will appear in the Cars Found list under the field as you type.

PHOTOS

This section displays photos attached to the waybill, and allows a photo to be uploaded. Note that only one photo per railroad can be added to a waybill, so uploading a photo if there is already an existing photo uploaded for your railroad will overwrite the existing photo.

INDUSTRIES / LOCATIONS DETAILS

  • Lading - The contents of the car/s on the waybill. This is an auto complete field, meaning that you can start to enter the commodity and a list of matching results will display allowing you to click the one you want.
  • Origin - The Originating industry (or location) on the waybill. This is an auto complete field, meaning that you can start to enter the commodity (that an industry ships), industry name, city or state of the industry and will give matching results across all railroads allowing you to click the industry you want to populate the field.{1}
  • Destination - The destination industry (or location) for the car/s on the waybill. This is an auto complete field, meaning that you can start to enter the commodity (that an industry receives), industry name, city or state of the industry and will give matching results across all railroads allowing you to click the industry you want to populate the field.{1}
  • Return To - Where to return the car to after the lading on the waybill has been delivered to the destination industry / location.
  • Waybill Photos - Contains all photos uploaded pertaining to the waybill.

RAILROAD OPERATION DETAILS

  • From - The From Railroad - normally this would be the railroad that serves the industry indicated in the Industries / Locations → Origin field.
  • To - The To Railroad - normally this would be the railroad that serves the industry indicated in the Industries / Locations → Destination field.
  • Assigned to - The railroad that the waybill is currently assigned to.
  • Routing - The route the car/s on the waybill will take to get to the destination. This should normally include the return (empty) journey as well, and would normally include the reporting marks (not full railroad name) of railroads that will action the waybill in the order they will action it. Eg: BNSF-CSX-NS.
  • Notes - Other notes not set in the other fields in this section of the waybill.

TRAIN DETAILS

  • In / Allocated To - Field that indicates the train the waybill is currently allocated to. Can be used for searching for a train to allocate to the waybill to that train - to find a train enter a location the train will pass through, or part of the train identifier then click the Find button next to the field. This is an auto complete field, but works a little differently to other auto complete fields in that it will only display a list of matching results after you click the [Find] button next to the field or when you click on another field. If an exact match to the train entered is found it will display that train without needing to click on the [Find] button. If an “Auto Train” is selected / entered a number of fields are displayed (Entry Waypoint & Exit Waypoint, Start Move On, Add extra Auto Trains on Save, and Allocate to RR) - both the entry and exit waypoints need to be entered for the auto train to act as an auto train, and the Start Move On date selected should be after the date of the latest progress report. Auto Trains are covered in more detail in the Trains manual page. If a normal train is selected / entered, then only an Exit Waypoint field is displayed.

PROGRESS

  • Date / Time - The Date / Time for the progress report being entered.
  • Progress Description - A details description for the progress report being entered.
  • Map Location - The location the train will be at the time of the progress report. Should be in TOWN,STATE format. If the location is outside the USA the format should be TOWN,STATE,COUNTRY.
  • Status - The status of the waybill. This includes various standard statuses, and all the interchange locations as set in each railroad's Interchange settings.
  • Add Extra Progress Report Form link - This adds an extra Progress Report form under the last one, and allows more than one progress report per waybill edit session speeding up some waybill editing requirements.
  • Progress History - Under the Save Changes button, this displays all the progress history for the waybill, in descending date/time order.

Notes:
{1} Note than when you click a result it will include a number in square brackets at the start of the value in the field, eg: [77] PETRA BRANCH QUARRY. The number inside the square brackets is used by the application in other places.
